Residence Allocation Management
How will this module help?
The e-housing module is an easy-to-use scheme-centric online house allocation system, enabling the institute/university employees to apply for houses owned by the university.
The employees can easily apply for a house as the housing scheme goes live by filling up a basic details form and selecting their preference of which they can keep a copy for future reference.
On allotment of the house to the employee, he/she will also receive an email asking to confirm the allotment on the portal.
What roles are there in the Residence Allocation Management module?
The Residence Allocation Management Module has 2 user roles:
ehousing_admin -With this permission, users can create Scheme, view the application, etc.
ehousing_employee -With this permission, users can log in and apply for the scheme.
Who will add the housing scheme to apply?
E-Housing_admin can add the housing scheme by clicking on the “Add E-Housing Scheme” button present on the top right side of the portal and fill in the required details:-
- Scheme Name
- Scheme Short Code
- Start Date(Select from the Calendar)
- End Date(Select from the Calendar)
- Type of Houses(Select from the Drop-Down)
- List of Houses(Select from the Drop-Down)
- Number of House Preferences

Who will allot the House?
Admin can allot the house to the employee by clicking on the “allotment” button.
A Prompt will appear asking for the following details to be entered:-
- Employee Name(Automatically Fetched)
- Scheme(Automatically Fetched)
- House Allotted(Select from the Drop-Down)
- Allotted On(Selected from the Calendar)
- Allotted Till(Selected from the Calendar)
- Allotment Letter(Upload)
- Status(Pending/Processed)

Is there any provision for updating and deletion of an entry in the module?
The Samarth team explained that there is no provision for deletion of the entry in the Samarth module but you can update any entry until you have not submitted that entry.
How can we allocate the number for the Houses, it will automatically update?

Who can access the Residence Allocation (E-Housing) module?
Users assigned the roles ehousing_admin and ehousing_employee can access the module. The ehousing_admin manages schemes and allotments, while the ehousing_employee can apply for housing schemes.
Can employees apply without a published housing scheme?
No. Employees can only apply when the admin has created and published a housing scheme. Unpublished or draft schemes are not visible to employees.
Why is a house not visible while creating a housing scheme?
A house will only be visible if:
- It is marked as Vacant
- It is set as Visible = Yes
- It belongs to a residential building configured in the Estate Module
- The corresponding house type is active
Is it mandatory to configure residential buildings in the Estate Module before using E-Housing?
Yes. Residential buildings, floors, house types, and houses must be properly configured in the Estate Management module before they can be used in the E-Housing scheme.
Can an employee edit the application after submission?
No. Once the application form is submitted and confirmed, no changes can be made. Employees are advised to review all details carefully before submission.
How does the system determine employee eligibility for house types?
Eligibility is based on the employee’s Pay Level, which is mapped to specific house types in the Settings for House configuration.
What happens after the admin allots a house?
After allotment, the employee must log in to their dashboard and confirm or reject the allotment. The allotment is finalized only after employee confirmation.
Can the admin unpublish a housing scheme after publishing it?
Yes. The admin can update or unpublish a housing scheme if required, provided the process aligns with institutional rules and allocation status.
Is bulk allocation of houses supported?
Yes. The admin can allocate houses to multiple employees using the Bulk Employee Record upload feature by downloading and uploading the prescribed Excel template.
Can an employee apply for more than one preference in a scheme?
Yes. The number of house preferences an employee can select depends on the House Preference Count defined while creating the housing scheme.
What documents are required during application?
Employees may be required to upload documents such as:
- Photo
- Signature
- Address Proof
