1. Introduction

College affiliation modules help colleges in getting affiliation or extension of affiliation. In this module, colleges can either upload all documents to the university page or already affiliated colleges can apply for sanctioning of new courses. It manages to upload all documents (in any format) on the server effortlessly.
The data that gets uploaded is scrutinized by the Affiliation Committee for remarks and approval. Colleges can view notifications that are sent by universities and also receive affiliation certificates. New course allotment letters can be accessed through this module.
While filling the affiliation form applicant need to follow sequential steps one by one like below:-

2. Registration and Login

2.1. Registration for Affiliation for college

The applicant can register himself/herself for college affiliation by clicking on the portal link and fill in the required details:-


  1. Applicant Name
  2. Applicant Mobile
  3. Applicant Email


After clicking on the "register" button a mail is sent to the applicant registered email id.
New Registration

2.2. Login as a User

User can log in in his/her account by clicking on the portal link and fill in the required details:-


  1. User Name
  2. Password


Existing User



Note

Users can only log in to his/her account after the account is activated by the admin.





3. Activate the Account

3.1. Activate

Only Admin can activate the Applicant account which has just registered to make it a valid user by clicking on the "Activate Account" button present in front of the entry under "College Affiliation → User Administration → Users → Guest Entry".


After clicking on the "Activate Account" button a mail is sent to the applicant registered email id.




4. Application for Affiliation

User can apply by clicking on the "Apply" button present on the portal and fill in the required details:-

4.1. Land Details

In this section, the user has to enter his land details:-

  1. Applicant Name
  2. Applicant Mobile
  3. Applicant Email
  4. Address Line 1
  5. Address Line 2
  6. City
  7. Country(Select from the drop-down)
  8. State(Select from the drop-down)
  9. In whose name the owner of the land is? (Select from the drop-down)
  10. Whether the land is Registered/Leased Deed/Rented? (Select from the drop-down)
  11. Is the building constructed on the land purchased by the Trust/Society? (Select from the drop-down)
  12. Is the College being run on rented buildings? (Yes/No)
  13. When the Trust/Society would complete the construction of its building? (Select from the calendar)
  14. Name of society president
  15. President Phone
  16. Name of Society Secretary
  17. Secretary Phone
  18. Is the building disabled friendly? (Yes/No)
  19. Scope for future expansion of buildings


After filling all these details click on the "Save and Continue" button to proceed further.

4.2. Facility Details

In this section, the user has to enter all the facility details available in their university/college/institute:-

  1. Number of Reception Room

  2. Reception Area (in meter square)
  3. Number of Principal Room
  4. Principal room Area (in meter square)
  5. Admin Office Area (in meter square)
  6. Number of Admin Office
  7. Hod room Area (in meter square)
  8. Number of HOD Room
  9. Faculty room Area (in meter square)
  10. Number of Faculty Room
  11. Classroom Area (in meter square)
  12. Number of Class Room
  13. Lab Area (in meter square)
  14. Number of Labs
  15. Computer Lab Area (in meter square)
  16. Number of Computer Lab

After filling all these details click on the "Save and Continue" button to proceed further.










4.3. Category wise details of employees in the College

In this section, the user has to enter all the employees' category details available in their university/college/institute:-

  1. Teaching Staff

    1. Male-UR/OBC/SC/ST Counts
    2. Female-UR/OBC/SC/ST Counts
  2. Non-Teaching Staff
    1. Male-UR/OBC/SC/ST Counts
    2. Female-UR/OBC/SC/ST Counts



After filling all these details click on the "Save and Continue" button to proceed further.

4.4. Other Details

In this section, the user has to enter all the other details available in their university/college/institute. For Example:- measures adopted for the security, anti-ragging measures, year/session when temporary affiliation was first granted, etc.

  1. Application Fee DD Number(Details of University Fee for starting new programmes/ courses payable as DD for each course)

  2. Application Fee Date(Select from Calendar)

  3. Details of measures adopted for the security of women employees and students in the Campus and Girls Hostel

  4. Give details of anti-ragging measures in the campus and hostels

  5. Has the college been accredited by NAAC or other accrediting bodies? If so, give Rank and period of validity of accreditation

  6. Is the Programme/Course approved by the Academic Council/Executive Council of the University?

  7. State the year/session when temporary affiliation was first granted to the programme/course for which extension of affiliation is being applied, State whether there was a break in temporary affiliation for this programme/course? If so, give the years in a break of affiliation

 

After filling all these details click on the "Save and Continue" button to proceed further.

4.5. Faculty Details

In this section, the user has to enter all the Faculty details of their university/college/institute:-

  1. Name

  2. Percentage in UG

  3. Percentage in UG

  4. Year of Ph.D.

  5. NET

  6. Other Information


 

To enter multiple faculty details click on the "Save" button and enter other faculty details.

Users can delete the details just entered by clicking on the delete button prompting you to be sure to delete the entry/item.

After filling all the available details click on the "Proceed to Next Section" button to proceed further.


4.6. Category Wise Students

In this section, the user has to enter all the students' details category wise enrolled in the courses offered in their university/college/institute:-

  1. Course
    1. Male - UR/OBC/SC/ST Counts
    2. Female - UR/OBC/SC/ST Counts


 

To enter multiple student category details for different courses click on the "Save" button and enter the details for the next course.

Users can delete the details just entered by clicking on the delete button prompting you to be sure to delete the entry/item.


After filling all the available details click on the "Proceed to Next Section" button to proceed further.


4.7. State Wise Students 

In this section, the user has to enter all the student details but state-wise enrolled in the courses offered in their university/college/institute:-

  1. Course

    1. Male - Counts of (Same state/ Other state/ Foreign nationals)

    2. Female - Counts of (Same state/ Other state/ Foreign nationals)


To enter multiple student details state wise for different courses click on the "Save" button and enter the details for the next course.

Users can delete the details just entered by clicking on the delete button prompting you to be sure to delete the entry/item.




After filling all the available details click on the "Proceed to Next Section" button to proceed further.




4.8. Upload Documents

In this section, the user has to upload the supporting documents:-

  1. Land Registration Document(Enclose copies of deed & mutation)
  2. The validity of the registration of the Society (Attach copy)
  3. Security FDR
  4. Faculty List
  5. Affidavit
  6. Clearance/ No Objection Certificate
  7. Document for Registration of the Society/Trust
  8. Documents of classification of land and its location as Metropolitan or other areas
  9. Land Use Certificate
  10. Registered land/ Govt. leased land documents
  11. Appropriate order from the Govt. permitting
  12. Building Plan
  13. Documents by the registered Society/Trust earmarking land and buildings for the proposed college.
  14. Details of the latest fund position
  15. Project Details


After filling all the available details click on the "Proceed to Next Section" button to proceed further.

4.9. Preview

A preview page will appear to verify all the details at once and then click on the "Submit" button present at the bottom of the form/Proforma to finally submit all the entered details.






5. Admin Login

5.1. Dashboard



5.2. Application

After the user applies for affiliation and submits the related details, the application goes to the application section which can be viewed by the admin only. Admin can view the status of application if Pending/Published/Drafted.

5.3. Users

Admin can either Activate the account or can reset the password in this section.

The account can be activated by clicking on the "Activate Account" button present in front of the entry under "College Affiliation → User Administration → Users → Guest Entry".

Passwords can be reset by clicking on the icon present in front of the entry under "College Affiliation → User Administration → Users → Guest Entry".
